Terms & Conditions

Membership at Ace Martial Arts is subject to the academy's waiver, payment terms, conduct rules and readiness requirements set out below.

Release and Waiver of Liability

  • Recognize and understand that martial arts training is a physical contact activity and that participation might result in serious injury, including permanent disability or death, and severe social and economic loss.
  • Recognize and understand that such risk may be due to not only my own actions, but also the action, inaction or negligence of others, the regulations of participation, or the conditions of the premises, or of any of the equipment used.
  • Recognize that there may be other risks that are not known or not reasonably foreseeable at this time.
  • Agree to inspect the facilities, equipment and pairings prior to participation. I will immediately inform an instructor if I believe that anything is unsafe or beyond my capability and refuse to participate.
  • Assume all of the foregoing risks and accept personal responsibility for any damages that may result from injury, permanent disability or death.
  • Enter martial arts training and/or competition entirely of my own free will and understand the importance of following the rules of training and competition. I have been given a copy of the rules and regulations of Ace Martial Arts and agree to abide by the instructions given therein.
  • Certify that I am in good physical condition, and have no disease, injury or other condition that would impair performance or physical and mental well-being during intense training practice and/or competition.
  • Grant permission in case of injury to have a doctor, nurse, athletic trainer or other emergency medical personnel provide medical assistance or treatment.
  • Release, waive, discharge and covenant not to sue Ace Martial Arts, its affiliated organizations and governing bodies, their officers, instructors and personnel, other members, participants, supervisors, coaches, sponsoring organizations or their agents, and if applicable owners and lessors of the premises, from any and all liability for claims, demands, losses and damages sustained on account of injury, death or damage to property, caused or alleged to be caused in whole or in part by negligence or otherwise.
  • Please note that Ace Martial Arts may use photos or videos of participants for advertisement on social media, leaflets and posters.
  • Please note that Ace Martial Arts will not accept violent or aggressive behavior. In case of breaking this rule, Ace Martial Arts Academy has the right to end the contract immediately with no fee returns.

Membership, Closures, Holidays and Illness

By signing, the member confirms receipt and acceptance of the gym rules and payment information provided by Ace Martial Arts.

I agree to pay the applicable monthly amount until the end of my membership. Please note that the membership fee can change during the time of the contract.

Monthly membership fees are charged on a month-to-month basis using the billing information provided upon joining.

If you want to cancel your membership, you need to provide Ace Martial Arts with more than 10 days written notice before your next monthly renewal. If you cancel with less than 10 days notice, the next month's membership must still be paid before cancellation can take effect. Cancellation requests must be emailed to info.acemartialarts@gmail.com.

For members paying for a block of private sessions, the client must give at least 24 hours notice for a session cancellation. Failure to do so results in the loss of one session.

If your membership payment is not paid on time and kept up to date, your membership stops 7 days after the last payment has expired and you will not be able to attend classes at Ace Martial Arts.

If you want to re-join Ace Martial Arts after cancelling, or due to payment issues, you will have to pay an incremental joining fee of one month's membership. In practice, this means one month rejoining fee plus the first month membership, for a total of two months.

Membership fees are non-refundable and non-transferable.

The academy is open all year long. It is up to you to attend your classes. If you are sick or away for Christmas or summer holidays, your membership continues and monthly payments are still required. From a business perspective, the academy cannot pause or freeze memberships for a few weeks or a few months due to ongoing demand for places.

Ace Martial Arts can hold your place if you pay for one month while you are away, after which your monthly payments restart when you return. Alternatively, you can cancel your membership and return only if space is available. If you return after cancellation, the rejoining fee of one additional month's membership will apply.

In case of long-term injury or illness that keeps you away from the mats for longer than 8 weeks, the contract may be frozen and no payment needed for one month. You must email info.acemartialarts@gmail.com and provide a copy of a medical or doctor's certificate or letter.

If that situation continues beyond one month, you must provide an updated request to Ace Martial Arts every month. Failure to update the academy results in the membership being cancelled. If membership is cancelled and you later return, the rejoining fee of one month's membership will apply.

Members Code of Conduct

This Code of Conduct sets out the standards of behaviour expected from all members of Ace Martial Arts. The academy is committed to providing a safe, respectful and inclusive training environment where all members can develop their skills free from intimidation, harassment or discrimination. Membership is conditional upon adherence to this Code.

Respect and Behaviour Standards

  • Treat coaches, staff and fellow members with dignity and respect.
  • Refrain from aggressive, discriminatory, or inappropriate behaviour.
  • Respect differences in experience, size, gender and background.
  • Maintain appropriate physical boundaries outside of the training context.
  • Accept responsibility for your conduct at all times.
  • Report any concerns about safety or conduct to staff immediately.
  • Aggressive, reckless or ego-driven behaviour is not tolerated.

Safe Training Conduct

  • Inform coaches of relevant injuries or medical conditions at the start of class.
  • Train in a safe and controlled manner.
  • Follow all instructions given by coaches and staff.
  • Do not attend training while under the influence of alcohol or drugs.
  • Tap early and clearly. A verbal tap is acceptable.
  • Immediately release submissions upon tap.
  • Apply all techniques with control.
  • Respect training partners and use appropriate force for their skill level.
  • Avoid dangerous or prohibited techniques.
  • Refrain from training if carrying contagious skin infections.
  • Maintain personal hygiene standards, including clean training attire and trimmed nails.
  • No food or eating is allowed on the mats.
  • Coaches reserve the right to stop any roll or technique if safety concerns arise.

Filming and Photography

  • No filming or photos of children without parental consent.
  • No filming or photos in changing areas or toilets under any circumstances.
  • Coaches or staff may take pictures or video during training or competition. Ace Martial Arts may use this material for advertisement on social media, leaflets and posters. If a participant or parent does not wish to be included, they can inform the coach or staff.
  • Students and parents may not take pictures or video without coach or staff permission.

Online, Social Media and Messaging Conduct

  • Do not post defamatory or false statements about the academy or its members.
  • Do not share confidential club information.
  • Do not engage in harassment involving other members.
  • Do not publish content that damages the reputation of the academy or members.
  • The academy reserves the right to request removal of content that breaches privacy or misrepresents the club.

Representation of the Club

  • When representing Ace Martial Arts in competitions or online, behave in a respectful and sportsmanlike manner.
  • The club name and reputation should be upheld at all times.
  • Misconduct outside the academy that brings the club into serious disrepute may result in disciplinary action.

Related Policies, Reporting and Enforcement

Ace Martial Arts has separate Equality, Child Protection and Data Privacy policies. These are available on the company website and at the gym. Members are expected to review and follow them.

Members who experience or witness misconduct should speak to a coach or director directly or submit a written complaint to info.acemartialarts@gmail.com. All concerns are handled discreetly and fairly. Retaliation against anyone who raises a concern will not be tolerated.

Failure to comply with this Code may result in a verbal warning, written warning, temporary suspension, or permanent termination of membership. Management decisions are final and made in the interest of safety and community wellbeing.

Changes

Ace Martial Arts reserves the right, at its sole discretion, to modify or replace these terms at any time. If a revision is material, the academy will try to provide at least 30 days notice before any new terms take effect. What constitutes a material change will be determined at its sole discretion. By continuing to access or use the service after those revisions become effective, you agree to be bound by the revised terms. If you do not agree to the new terms, please stop using the service.

In consideration of being allowed to participate in any way in the sanctioned events of Ace Martial Arts, I have read the above warning, waiver, release and agreement to participate. I understand its contents and sign it voluntarily.

Physical Activity Readiness Questionnaire (PAR-Q)

Make sure you are healthy to train in our gym. Please review these statements. If you answer yes to any one of them, please inform Ace Martial Arts management.

  • Has your doctor ever said that you have a heart condition and that you should only do physical activity recommended by a doctor?
  • Do you feel pain in your chest when you do physical activity?
  • In the past month, have you had chest pain when you were not doing physical activity?
  • Do you lose your balance because of dizziness or do you ever lose consciousness?
  • Do you have a bone or joint problem that could be made worse by a change in your physical activity?
  • Is your doctor currently prescribing drugs for your blood pressure or heart condition?
  • Do you know of any other reason why you should not undergo physical activity? This might include severe asthma, diabetes, a recent sports injury, or serious illness.
  • If you have one of these conditions, or your health conditions change, inform Ace Martial Arts management and consult with your doctor regarding the level of physical activity you can conduct.
  • If you answer yes to one or more questions, talk with your doctor in person and ask for written permission confirming that you are able to take part in activities at Ace Martial Arts.
  • You declare that the information provided is correct at the time of completing this questionnaire.
